Our clients are typically larger enterprises that need to control the creation of externally focussed business documents by distributed teams. These teams are often geographically dispersed and collaborating through organisational lines of communication. Without automation, compliance in creation of these important documents can only be managed through the discipline of process.

Our clients require control over document creation to ensure content conforms with:

  • Policy
  • Legal requirements
  • Brand guidelines.

Policy includes all the decisions and rules the organisation has defined for what needs to be included or excluded. These could be, for example, pricing, product descriptions, eligibility for service features, processes to be followed, or simply messages to be emphasised.

Legal requirements are terms, conditions or clauses that have been developed with specialist legal input. The implications if they are changed or omitted may be significant and yet the time cost of reviewing individual document outputs may also be expensive.

Brand guidelines include not only how visual elements such as the treatment of logo, typeface, layout, and graphics or images, but the language used. Variance here can undermine the consistency and impact of the experience a customer, supplier, or staff member should expect - and the organisation's investment in above the line brand development.

The detail within each of these content requirements may change but their changes will need to be applied in a consistent and timely manner across the organisation.

Our Ezidocs system wins me more sales, is really easy to use and creates proposals in 20 minutes, not hours like our old manual system. I get to concentrate on what I'm good at - working with my customers and prospects.

And as an added bonus, my customers love receiving my proposals - I get so many positive comments about how good our documents are- how we listened, and made it easy for them to make a decision.

As the pricing, product and service information is always correct, and we have a screen which prompts us on other operational and market information we need to collect, we now use the system as a great training tool for anyone new who joins the team. New people are up and running fast - and us old hands are reminded what we need to ask and why.

It's a great sales tool - and it works for us as sales people, for our customers and for the business. I just wish we had it when I first started - the new guys don't know how much easier our jobs are now. It's a great tool!
